Your data stays on this device
This free tracker stores staff and holiday information only in your browser's local storage on this device. Nothing is uploaded to a server. Clearing your browser data, switching browsers or using another device will remove or hide this data. If you accept analytics cookies we collect anonymised usage data and a device identifier; you can decline and the tracker still works. See our privacy policy and terms. This free annual leave tracker is designed for UK small businesses that want a simple way to log holidays, work out remaining entitlement and keep everything in one place — without signing up for software or sharing employee data with a third party.
Start by setting your holiday year. Enter the From and To dates at the top of the page. Most UK businesses use either the calendar year (1 January – 31 December) or a rolling year tied to the employee's start date. Once set, the tracker only counts holidays that fall inside that period, so you can carry on using it year after year.
Next, click Add Staff and enter each employee's name, role, department, contracted hours per week, days worked per week and their annual entitlement in hours. The tracker uses those numbers to work out a daily rate, so someone on 30 hours across 3 days gets a different daily deduction to someone on 40 hours across 5 days. This matters for part-time staff — the most common source of holiday calculation errors.
Then select the staff member, choose whether the holiday is a Full Day, Half Day or Block Booking, pick the dates and submit. If the dates clash with an existing holiday the tracker warns you. If the request exceeds their remaining entitlement it warns you again. Manager approval is a single click — the remaining balance updates automatically.
Finally, when you need a record, click Download CSV. You'll get a file with every request, its hours, status and reason, ready for payroll or your accountant.
Almost all UK workers are legally entitled to 5.6 weeks of paid annual leave per year. For a full-time employee working 5 days a week, that is 28 days. This is the statutory minimum — an employer can offer more but not less.
Bank holidays may be included in the 28-day minimum or given in addition, depending on the contract. If they are included, a full-time employee has 20 days to book plus the 8 usual bank holidays. If they are in addition, the employee has 28 days to book plus bank holidays. There is no legal right to take bank holidays off — it depends entirely on the contract.
Part-time workers get the same 5.6 weeks, pro-rated. A 3-day-a-week employee gets 16.8 days (rounded up in practice to 17). This is where most businesses make mistakes — using the same daily rate for everyone instead of pro-rating by contracted days. The tracker handles this automatically: enter the employee's contracted hours and days per week, and their daily rate is calculated correctly.
Carryover is not a legal right in the UK. An employer may allow it in their contract or by agreement, but they don't have to. If you do allow carryover, note that the 4 weeks' minimum required by the Working Time Regulations cannot be replaced by payment in lieu — except on termination.
For the most up-to-date statutory figures, always check GOV.UK's holiday entitlement guidance. This tracker is a calculation aid, not legal advice.

All staff, holiday and policy data is stored only in your browser's local storage on this device. Nothing is uploaded to a server. Clearing your browser data, switching browsers or using a different device will remove or hide your data. This is by design so you can try the tool without giving us any information.
Almost all UK workers are legally entitled to 5.6 weeks of paid annual leave per year. For a full-time employee working 5 days a week, that is 28 days. Bank holidays can be included in or excluded from that 5.6 weeks depending on the contract. Part-time workers get the same 5.6 weeks, pro-rated to the days they work.
It depends on the contract. An employer can choose to include bank holidays within the 28-day statutory minimum, or give them in addition. If bank holidays are included, the employee has 20 days to book plus the 8 usual bank holidays. If they are in addition, the employee has 28 days to book plus the bank holidays.
Part-time staff get the same 5.6 weeks as full-time staff, pro-rated to their working days. A 3-day-a-week worker gets 16.8 days (rounded up to 17 in practice). In this tracker, add each part-time employee with their contracted hours per week and days worked per week — the tool works out their daily rate and deducts the correct amount from their entitlement.
You can, but spreadsheets break easily — formulas get overwritten, dates get formatted wrong, and there is no approval flow or conflict detection. This free tracker gives you the same local-only benefit as a spreadsheet (no signup, no data on a server) but with built-in calculations, conflict warnings and a calendar view.
Set the policy period at the top of the page — the From and To dates define your holiday year. When the To date passes, the tracker prompts you to roll everyone into a fresh 12-month period and reset their hours used. Past holidays are kept in the table for your records but no longer count against the new period.
Yes. Once you have some holiday requests logged, click Download CSV. You will be asked for a few company details the first time, and the file will download straight to your computer. The CSV includes name, role, department, dates, hours, status and reason for each request.
You can add more than 10 staff on this free tracker — it will still work. When you go over 10, we show a banner offering a 1-month free trial of the paid InsightOS plan, which adds cloud sync, team approvals, reporting, payroll export and multi-site support. There is no obligation to upgrade.
Yes. The tracker is fully responsive and works on phones, tablets and desktops. Data is stored in the browser on each device, so if you use it on your phone and your laptop you'll have two separate datasets. To move data between devices, export a CSV and re-import it, or upgrade to the paid plan for automatic cloud sync.
The free tracker is perfect for getting started. When you need cloud sync, team approvals, reporting and payroll export, start a 1-month free trial of the paid InsightOS plan — no card required.
